Associate Registrar

As part of the Registration team, the Associate Registrar works closely with the Curatorial and Preparator teams in carrying out duties related to the administration, handling, and care of collections and exhibitions. The position is responsible for a broad range of registration functions of which primary duties include collections processing and database activities, assistance with the care, maintenance, and preservation of artworks in the permanent collection, as well as the performance of registration functions relative to exhibitions including loan agreements, condition reports, and transit arrangements, as needed. The position is responsible for coordinating the ongoing conservation plan for the artworks on display in the Mary M. and Sash A. Spencer Sculpture Garden and will coordinate any necessary conservation required for works in the permanent collection and loans to the museum. 

Requirements: 
  • Bachelor’s Degree in Art History, Studio Art, Museum Studies, Arts Administration, or closely related field and a minimum of three (3) years of museum registration experience (art museum experience preferred), or a combination of education and experience.
  • Thorough knowledge of current registration practices and principles and a clear understanding of art museum standards and protocols.
  • Experience managing projects from inception to completion; organized, detail oriented, articulate, and self-motivated.
  • Excellent working knowledge of software such as Microsoft Office Suite (Word, Excel) and museum collection databases. TMS experience preferred.
  • Strong written and verbal communication skills and the ability to exercise tact and diplomacy at all times.
  • Ability to work well under pressure and with conflicting demands.
  • Ability to work well both independently and in a team dynamic.
  • Ability to work a flexible schedule that may include evening and weekend assignments.
  • Ability to act as a courier, as needed, to accompany PAMM-produced exhibitions or loans, worldwide.
  • Bilingual in English/Spanish a plus. 
Essential Functions include, but are not limited to:
  • Maintaining records of accession, condition, and location of objects in museum collection, and overseeing movement, packing, and shipping of objects to conform to insurance regulations. Updating the above-mentioned records in TMS Collections. Observes unpacking of objects acquired by museum through gift, purchase, or loan to determine that damage or deterioration to objects has not occurred.
  • Assisting Registrar with duties relating to the coordination of transportation with shippers, customs agents, lenders, and galleries for incoming loans and acquisitions for the collection.
  • Supervising handling, packing, movement, and inspection of all artworks entering or leaving the premises and confers with other personnel to develop and initiate most practical methods of packing and shipping fragile or valuable objects. 
  • Performing condition examinations of works of art. Recommends object conservation when necessary.
  • Preparing documentation and maintaining files and retrieval systems related to exhibitions: loan agreements; receipts and other standard museum forms; shipping documents and notices; checklists; inventories of artworks; condition reports; and insurance certificates and reports.
  • Supervising the unpacking, installation, de-installation, and re-packing of artworks as related to exhibitions.
  • Carrying out periodic checks of the museum’s storage facilities and the condition of works in storage, and maintains related documentation. Ensures that the museum’s art storage, staging and box storage facilities are regularly maintained in a clean and orderly condition consistent with the highest museum standards.
  • Monitoring environmental conditions of the museum, including temperature, humidity, and light levels.
  • Trains and supervises the preparation staff in the handling of artworks. 
Physical Demands:
  • Walk, bend, lift (up to 25 pounds) including files, office supplies, an electronic equipment.
  • Finger dexterity to pick up paper and use computer keyboard.
  • Close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
  • Ability to hear in normal tones including telephone and face-to-face conversation.
